This page explains what data the PicoBot Discord bot and web panel process, why they process it, and how long they store it.
Collected data
- Server settings: All settings you configure via the panel and commands.
- Moderation logs: Cases (who, to whom, why, when), reports, and AutoMod violations.
- Event logs: Content of deleted and edited messages, joins/leaves, voice movements, role and nickname changes. A maximum of 20,000 events are kept per server, with the oldest being deleted.
- Activity statistics: Message counts, voice and streaming durations.
- AI memory: Short summaries of conversations with the bot and taught information. Conversations are sent to the AI provider (OpenRouter) to generate responses.
- Voice chat: The bot sends the text requested to be spoken to the voice provider to generate audio. Conversations in voice channels are not recorded.
- Backups: Channel, role, and permission structure. Message content is not backed up.
- Login with Discord: When logging into the panel with Discord, your username, the email address verified by Discord, and the number of servers you are in are retrieved and stored along with your login dates. The content of your server list (server names) is not stored. Only notifications regarding your server and the PicoBOT service (e.g., plan gifts, important changes) may be sent to this address; if you do not wish to receive them, just let us know.
- Payments: Processes payments for paid plans as the Merchant of Record. Creem is processed. Your card and billing information are processed by Creem and are not shared with us; we only receive your payment email, the plan you purchased, subscription status, and the ID of the server where the plan is assigned.
- Join the community server (optional): If you leave the “I also want to join the Discord server” box checked when logging into the panel with Discord, you will be added to the PicoBot community server; if you uncheck it, this permission will never be requested from Discord. You can leave the server at any time and revoke the permission from the Authorized Apps section in your Discord settings.
Purpose of use
Data is used only to operate the bot's features, show moderation history to server staff, and prevent abuse. Your email address is used only to communicate with you regarding your account and payments. Data is not sold or used for advertising.
Who can see it
Logs can only be viewed by the relevant server's staff via the panel, according to their Discord permissions. The bot owner can access all data for technical support.
Delete
Server administrators can delete logs and AI memory from the panel. When the bot is removed from a server, you can request the bot owner to delete that server's data. If you want your personal data deleted, contact the bot owner via Discord.
Third parties
Discord (platform), Creem (payments), Resend (email), OpenRouter (AI responses and speech-to-text), Microsoft and Fish Audio (voice synthesis), YouTube and SoundCloud (music). Each is subject to its own privacy policy.
